Privacy

A plain-English overview of the information VolleyBuds uses for tournament planning, Athlete profiles and consent-based Coach tools.

What VolleyBuds may store

Depending on what you choose to provide, VolleyBuds may store:

  • Display name, email, phone, date of birth and State
  • Competition gender (Women, Men or Not set)
  • State/VQ ID, VA ID and ABVRS Player ID
  • My Season tournaments, selected divisions, registration status and Partners’ display names
  • Results, placements, field sizes, points and historical results
  • Optional height, standing reach, jump height, spike touch and weight
  • Coach-verification provenance, squad memberships, Training Group assignments and sharing consent
  • Support report text, account identifier, page or tournament context, timestamps and a basic browser/device summary
  • Account roles and relevant Admin support or audit information

Profile fields and physical measurements marked optional are not required.

Why information is used

Information supports Athlete profiles, season and tournament planning, result tracking, performance and ranking calculations, Partner history, squad coordination, Coach tools, and account, support and authorised Admin functions.

Tournament information may change, and some profile and result information is entered by users.

Coach sharing

Coach sharing requires explicit consent for each squad. A private Coach Join Code grants Coach membership in that squad, but does not bypass Athlete consent or expose canonical private profile documents. Share Coach codes only with people who should have Coach access.

Active Coaches receive a read-only, Coach-safe view that may include contact and registration details, Competition gender, profile information, optional physical measurements and Coach-verification status, My Season plans, tournament results, Partner display names and history, and derived performance statistics.

Coaches may organise Squad members into internal Training Groups for planning and coaching. A Training Group assignment does not expand or reduce the Athlete information available to Coaches beyond the Athlete's existing squad-sharing consent.

Consent in one squad does not apply to another. Currently, withdrawal means ending Athlete participation and leaving that squad.

Partner privacy

Coaches may see a Partner’s display name and your tournament or result history with that Partner.

They do not receive the Partner’s email, phone, date of birth, State/VQ ID, VA ID, ABVRS ID, private notes or private Partner route/internal ID. One Athlete cannot consent on behalf of another person’s private profile.

Physical measurements and verification

Height, standing reach, jump height, spike touch and weight are optional and Athlete-entered. With squad consent, they may be shared with active Coaches.

A Coach can mark the exact displayed value as Coach verified. This is not an official, certified or medical measurement, and is not guaranteed by VolleyBuds. Changing a value invalidates its current verification; historical verification provenance may remain.

Competition gender

Competition gender is used for profile and competition filtering. The current options are Women, Men and Not set.

It is not inferred and does not restrict Partner selection.

Authentication and hosting

Firebase Authentication handles account authentication and password functionality. Firebase/Firestore is used for application data, and Vercel is intended to host the website.

VolleyBuds does not display or store readable passwords in its application database. Admins cannot see passwords.

Beta monitoring and analytics

VolleyBuds uses Sentry error monitoring to diagnose technical problems and limited PostHog usage analytics to understand which parts of the closed beta are being used.

This setup does not use session replay or broad automatic interaction capture. Before sign-in, usage may be recorded against a random browser identifier. After sign-in, your Firebase account UID may be used as a pseudonymous identifier; profile details and user-entered form text are not intentionally sent as analytics properties.

Admin, corrections and deletion

Authorised Admin support may access or correct relevant user information, review support reports, and Admin activity may be audit logged. VolleyBuds administration may disable an account, which prevents sign-in while retaining its data so the account can be re-enabled.

Permanent deletion removes the user's authentication account and their own VolleyBuds profile, planning, result, Partner, squad-participation, sharing, support report and Athlete measurement data. Historical information owned by another user may remain where needed to preserve that person's records, without retaining unnecessary live account linkage or private account details.
